Our service
Our service includes advising you on your needs and arranging your insurance cover with insurers to meet your requirements. We also undertake to help you with any ongoing changes you may have to make to your insurance cover. We offer a wide range of insurance products and have access to leading insurers in the market place.
For certain insurance products we may deal exclusively with certain insurers because these provide good value and service. We will advise you of this arrangement when we are discussing these insurance products and before you make any commitment on the product we recommend.
For some of the policies, which we arrange, you will deal directly with the insurer for on going policy administration including renewals.
Charges
In addition to the premiums charged by your insurers we occasionally make additional charges to cover the administration of your insurance including claims. If we do so, we will notify you in advance of the amount we wish to charge and obtain your agreement.
Payment
The following sets out our terms for payment of insurance policies
- Please pay new policies on or before the inception date of the policy.
- For alterations or amendments to existing policies please pay by the effective date of the change.
- Renewals payment is due in full by the renewal date
Method of Payment
We normally accept payment by cheque, or the following credit cards:
MasterCard, Visa, or American Express. We also accept payment by Switch and Solo.
We make a handling charge of £2.50 for any payments made by credit cards.
Client account money
We hold all client money in a statutory trust account and act as agents for insurance companies in respect of this money. Any interest is accrued to the account of Clavis.
Installment payments
You can spread your payments by using the insurers' installment schemes, or through credit schemes that we can arrange with reputable financing companies. Should you choose to pay your insurance premium by installments, we will advise you of the credit charge that will be made, when we discuss your insurance in detail.
Return premiums
These can arise if an insurance risk is reduced or a policy is cancelled. If a policy is cancelled any premium will be subject to a deduction fee of £10.00. We will not issue any return premium that is less than £10.00 (after deducting reclaimed commission). Any amount less than £10.00 will be held to your credit and can be utilised against any future insurance policy arranged via our company.
Claims
It is very important that you notify the insurance company immediately of all incidents, which might result in a claim against your insurance policy. Prompt action by you helps your insurance company to take action to protect your interests. Your policy summary and policy document will advise you who to contact in order to make a claim.
We also offer a service to assist you with any claims you may need to make including if required the recovery of any uninsured losses you may incur.

If you cannot settle your complaint with us, you may be entitled to refer it to the Financial Ombudsman Service.

Customer's duty to provide information
It is the responsibility of customers to provide complete and accurate information to insurers when you take out an insurance policy, throughout the life of your policy and when you renew your insurance policy. Please ensure that all statements that you make on the proposal forms, claims forms and other documents, are as full and accurate as possible.
Insurers point out on their policy documents that if you fail to disclose any material information to your insurers this could invalidate your insurance cover. In the worst possible case it could mean that part or all of any claim may not be paid.
Documentation
We will release all documents to you as soon as possible, however we reserve the right to hold certain documents, such as certificates of insurance, while we are waiting for full payment of premiums.
In these circumstances we will ensure that you receive full details of your insurance cover and provide you with any documents that you may require by law.
Records and Confidentiality
All personal information about you will be treated as private and confidential.
We may use the information which we hold to help us provide information about products and services which we believe may be of interest to you.
Under the Data Protection Act 1998 you have the right to see personal information about you, which we hold in our records. If you do not wish to receive marketing information from us or do not wish us to disclose information about yourself to third parties for marketing purposes please let us know.
